WhatsApp shared inbox: one number, your whole team
A WhatsApp shared inbox lets multiple users answer customers from the same WhatsApp number. Nobody passes a phone around, and everyone sees who is handling what. BelloSend puts WhatsApp and Instagram conversations in one team inbox, on Meta's official API.
Why teams need multiple users on WhatsApp
The WhatsApp Business app is built for one person. When several people need to reply, teams share one phone, or log in on linked devices and hope nobody answers twice. Messages get missed, and when someone leaves, the history goes with them.
A shared inbox fixes this. Every conversation sits in one queue. Each one has an owner, a status and a full history. A manager can see what is open, what is waiting and who is busy.
What the BelloSend shared inbox does
One queue for two channels
WhatsApp and Instagram direct messages arrive together. Instagram comments and mentions can be answered beside them, publicly under the post or privately in a DM (Pro and Max).
Assignment and transfers
Assign a conversation to an agent or a team, and transfer it when someone else should take over.
Notes and context
Internal notes stay with the chat. Contact details, tags and message history are visible in one view.
Quick replies
Save answers your team sends every day and insert them in a click. Use approved templates when the 24-hour window has closed.
Filters
Filter by open, closed, unreplied or assigned agent, and search contacts fast.
Availability
Agents set their availability so work goes to people who are on shift.
Control who sees what
- Core roles: Super Admin, Admin, Manager and Agent
- Custom roles with granular permissions (user roles are included in Pro and Max)
- Audit history of changes to key settings
- Each organization's contacts and messages kept separate
Answer from the Android app
The BelloSend Android app (Android 7 or newer) has the same inbox, organizations and permissions. A new customer message rings the phone even when the app is closed, and a tap opens that conversation. iOS is coming soon.

Frequently asked questions
Can multiple users use one WhatsApp number at the same time?
Yes. With BelloSend, all your agents work from the same number through the shared inbox, at the same time, each on their assigned conversations.
How many users can I add?
Growth includes 2 team members, Pro 4 and Max 10.
Can I keep the WhatsApp Business app on my phone?
If Meta makes your number eligible for Coexistence, yes. A Direct Cloud API setup disconnects the app for that number.
Is Instagram included in the shared inbox?
Instagram direct messages are part of the shared inbox on every plan. Comment and mention replies are included in Pro and Max.
Can customers tell which agent answered?
Customers see your business name and number. Inside BelloSend, your team sees who owns each conversation.
How is a shared inbox different from WhatsApp Web or linked devices?
WhatsApp Web and linked devices mirror one account, so everyone sees the same chats with no owner, no notes and no permissions. A shared inbox on the official API gives each conversation an assigned agent, a status and internal notes, and lets admins decide what each person can open. When someone leaves, the history stays with your business.
