The WhatsApp Business API and team inbox for businesses in Kenya.
Answer customers from Nairobi to Mombasa, Kisumu and Eldoret on one official WhatsApp number shared by your whole team, with Instagram in the same inbox. Plans are shown in Kenyan shillings, and Meta's fees for +254 numbers are lower than in many markets.
How Kenyan businesses talk to customers on WhatsApp and Instagram
In Kenya, WhatsApp is where a sale often starts and finishes. The Communications Authority of Kenya's own surveys place WhatsApp among the two most used social platforms in the country, alongside Facebook. A customer sees a product on Instagram, TikTok or a Facebook page, taps the WhatsApp link, asks for the price and delivery fee, then pays by M-Pesa and sends the confirmation message as a screenshot. Shops in Nairobi's CBD, boutiques in Westlands and online sellers in Mombasa, Nakuru and Kisumu all run their orders this way.
Customers write in English, in Kiswahili and very often in Sheng, switching between them in the same chat, and many prefer voice notes to typing. Upcountry customers may add a word of their own mother tongue. Your team needs to read every message in context and answer in the customer's register, whether that is a formal English quote for a company or a quick, friendly reply in Kiswahili.
The sectors that lean on WhatsApp are wide: online fashion and electronics, supermarkets and pharmacies offering delivery, private hospitals and clinics, schools and colleges, SACCOs and microfinance, real estate agents selling plots and apartments, safari and hotel operators on the coast, and logistics firms coordinating boda boda and courier deliveries across counties.
The trouble starts when the business grows and WhatsApp stays on one phone. One staff member holds the shop's line, chats from the weekend go unanswered, a customer's M-Pesa message is lost in a busy thread, and nobody knows who promised what. Sending bulk messages from the WhatsApp Business app or from unofficial tools gets numbers reported and banned. The official WhatsApp Business API, through a shared inbox, lets several agents answer from one number, with history, assignment and approved templates.
What Kenyan teams do with BelloSend every day
Order and payment confirmation for online shops
A fashion or electronics shop in Nairobi receives orders through Instagram and WhatsApp. An agent confirms the item, size and delivery fee, the customer pays by M-Pesa and sends the confirmation, and the agent tags the contact as paid. A utility template then confirms the order, so nothing depends on one phone or one memory.
Delivery updates across counties
A seller shipping from Nairobi to Kisumu, Eldoret or Mombasa sends an approved shipping template when the parcel leaves with the courier or matatu shuttle, with the expected pickup point. When the customer replies with a question, the 24-hour window opens and any agent can answer from the shared inbox.
Appointment reminders for clinics and salons
A dental clinic in Kilimani or a salon in Thika sends a reminder template the day before each booking, with buttons to confirm or reschedule. Replies land in the shared inbox, where the front desk sees the full history and can move the appointment without calling the patient back.
School fee and payment reminders
A private school or college sends polite utility templates before each term's fee deadline, to parents who agreed to receive updates on WhatsApp. Parents reply with questions or their payment confirmation, and the accounts team answers from the same number, with internal notes that stay with each conversation.
Quotes for property, hardware and B2B buyers
A real estate agent selling plots in Kitengela or a hardware supplier in Industrial Area receives enquiries on WhatsApp. The chatbot collects the location, budget or item list, then hands the conversation to the right sales agent, who sends the quote as a PDF from a quick reply.
Holiday and season campaigns
Ahead of Christmas, Easter, back-to-school in January or Black Friday, a retailer on the Max plan sends an approved marketing template to customers who opted in, segmented by tags such as past buyers or county. BelloSend shows delivered, read and failed messages, so the team follows up where it matters.
Tourism enquiries on the coast and in the parks
A safari or beach hotel operator in Diani, Watamu or Naivasha answers Instagram DMs and WhatsApp messages from local and international guests in one inbox. Ice breakers on the Instagram profile and a chatbot handle rates and availability questions, and an agent takes over for bookings.
After-sales support and feedback
An electronics or solar equipment seller handles warranty questions and installation follow-ups through the shared inbox, assigns each case to a technician's team and transfers it when needed. After the job, a feedback template about that specific order asks the customer how it went.

What teams say after switching.
Support leads, campaign managers and admins on what changed day to day.
We had four people answering from one phone and it was a mess. Now I can see who is on what, and the notes stay with the chat when someone hands it over.
Honestly I expected to fight with the setup. First campaign went out in about twenty minutes and I could finally see who actually read it.
Adding an agent takes two minutes and I choose exactly what they can open. That was my main worry before we moved everything over.
One price, everything included
Every plan carries the whole product. What changes is how much of it you need — how many people, numbers and contacts.

WhatsApp marketing and data protection rules in Kenya
Kenya has a full data protection law and an active regulator that decides complaints about marketing messages. Here is what applies when you message customers on WhatsApp, in plain words.
The Data Protection Act, 2019 (No. 24 of 2019)
Kenya's Data Protection Act governs how you collect, use and store customers' personal data, including phone numbers and chat history. It is enforced by the Office of the Data Protection Commissioner (ODPC), which handles complaints and can issue enforcement notices and fines. Collect only the data you need, for a stated purpose, and keep it secure.
Registration with the ODPC
Data controllers and processors must register with the ODPC unless they have both an annual turnover below KES 5 million and fewer than ten employees. Some sectors, such as education, health and financial services, must register whatever their size. Check the ODPC's guidance to confirm whether your business needs to register.
Consent and opt-out for direct marketing
The Data Protection (General) Regulations, 2021 restrict the commercial use of personal data. Send marketing only to people who gave you their number, were told it would be used for marketing and agreed to it. Every marketing message should show how to opt out, and opt-out requests must be respected promptly. The ODPC has found businesses in breach for lacking an opt-out.
Unsolicited communications
The Kenya Information and Communications (Consumer Protection) Regulations, overseen by the Communications Authority of Kenya, also restrict direct marketing sent by automated means without the person's prior consent. In practice: no cold bulk messages, a clear sender identity and an easy way to stop.
Transfers of data outside Kenya
The Act allows personal data to be transferred abroad only on specific grounds, such as appropriate safeguards or consent, and the ODPC has issued guidance on cross-border transfers. WhatsApp and most software, including BelloSend, process data outside Kenya, so mention this in your privacy notice and check the ODPC's guidance for sensitive data such as health records.
Meta's rules: opt-in, 24-hour window and templates
Meta requires opt-in that names your business before you message someone on WhatsApp. Free-form replies are possible only within 24 hours of the customer's last message; outside that window you need a template approved by Meta. Messages that draw blocks and reports lower your quality rating and can limit your number.
This is general information about Kenyan rules, not legal advice; check the official texts or a Kenyan lawyer for your specific situation.
Questions about BelloSend and the WhatsApp Business API
Is the WhatsApp Business API available in Kenya?
Yes. Any Kenyan business can use Meta's WhatsApp Business Platform (Cloud API) with a +254 number or a number from another country. BelloSend connects through the official Cloud API, and BelloCloud LLC is verified by Meta as a Tech Provider. You connect your number with Meta's Embedded Signup, then your team answers from a shared inbox in the browser or the Android app.
How much does Meta charge per WhatsApp message to Kenyan numbers?
Kenya is billed under Meta's Rest of Africa market. On the rate card effective 1 October 2026, a delivered marketing template costs USD 0.0225 and a utility or authentication template USD 0.004, before volume tiers. Service replies cost the utility rate after 1,000 free per number each month. Meta bills these fees itself; use the free WhatsApp pricing calculator to estimate your monthly total.
Can I pay for BelloSend in Kenyan shillings?
On this page, plan prices are shown in Kenyan shillings, converted at the day's exchange rate, and you can also view them in US dollars or euros. BelloSend itself charges one plan price with no fee per message. For invoicing and the payment options available for your business, contact the team on WhatsApp or by email before you subscribe.
Do I need to follow the Data Protection Act to use WhatsApp for marketing?
Yes. The Data Protection Act, 2019 and its 2021 Regulations apply to customer phone numbers and chats. Send marketing only to people who agreed to receive it, include a way to opt out and honour it, and check whether you must register with the ODPC. In BelloSend you can tag the contacts who opted in, and the audit history records changes, but your business stays responsible for consent.
What is the difference between the WhatsApp Business app and the API for a Kenyan shop?
The free WhatsApp Business app suits an owner answering from one phone. Once several people need to reply from the same number, you send order updates or reminders at scale, or you want a chatbot, the API is the better fit. With BelloSend, your team shares one number, assigns chats, uses quick replies and sends Meta-approved templates. Meta charges per delivered message on the API.
Can I keep my current Safaricom or Airtel number?
Yes, you connect the number you already use. If Meta makes it eligible for Coexistence, you keep the WhatsApp Business app on your phone while the same number works in BelloSend, and recent chats can sync. With a direct Cloud API setup, the number works only through BelloSend. Meta decides eligibility during setup, and the number must be able to receive a verification code.
Can customers write to us in Kiswahili or Sheng?
Yes. Customers can write in any language, and your agents reply in theirs from the shared inbox. Quick replies and templates can be saved in English and Kiswahili, and the AI chatbot follows the instructions you give it per channel. The BelloSend app itself is in English, French, Arabic and Spanish, and this website is also available in Kiswahili.
Can BelloSend get my business the WhatsApp green tick?
No provider can promise it. The badge, now called an Official Business Account, is granted only by Meta. Meta requires Business Verification of your business portfolio, two-step verification on the number, an approved display name and at least 30 days on the platform, among other conditions. Once your number is connected, you can request it from WhatsApp Manager.
Which Kenyan businesses use a WhatsApp CRM like BelloSend?
It suits any business where several people answer customers: online shops and Instagram sellers, clinics and pharmacies, schools and colleges, real estate agents, hotels and tour operators, logistics firms and B2B suppliers. They use the shared inbox, contacts and tags, templates for reminders and order updates, the chatbot for common questions and, on the Max plan, WhatsApp campaigns.
How do I get started, and is there a guarantee?
Book a call or message the team on WhatsApp. BelloCloud creates your workspace and helps you connect your number, invite your team, sync templates and import contacts from a CSV file. Support is free on every plan, in English, French or Arabic. Your first payment is covered by a 14-day money-back guarantee, and you can cancel anytime.
