WhatsApp for clinics: appointments, reminders and patient questions

Patients prefer to book, confirm and ask simple questions on WhatsApp rather than wait on the phone. BelloSend gives your clinic a shared WhatsApp inbox on Meta's official WhatsApp Business Platform, so reception staff can answer together, send appointment reminders and keep every conversation in order.

How clinics use WhatsApp

  • Appointment requests

Patients ask for a slot on WhatsApp. Reception answers from the shared inbox, and the conversation is assigned to the right person or team.

  • Appointment reminders

Send an approved utility template the day before, with buttons such as "Confirm" and "Reschedule". Fewer missed appointments, fewer calls.

  • Practical questions

Opening hours, address, parking, what to bring, how to prepare. A keyword reply or chatbot flow answers these, and a person takes over when needed.

  • Pre-visit forms

WhatsApp Flows let a patient fill in a short form inside WhatsApp, such as preferred date and reason for the visit, without sharing medical details.

  • Calls from the same number

When Meta enables WhatsApp calling on your number, staff can take and place calls in the browser or the Android app. Calling is included in the Pro and Max plans.

  • Several sites or teams

Use teams, roles and permissions so each site or department sees only the conversations it should.

Privacy: keep sensitive medical data out of WhatsApp messages

WhatsApp is a good channel for logistics: dates, times, addresses and confirmations. Do not send diagnoses, test results, prescriptions or other sensitive health information in WhatsApp messages or templates. Ask patients to bring that to the visit or use the secure channel your clinic already has.

Health data rules differ by country. Check which rules apply to your clinic before you start, and train staff on what they may and may not write in a chat. BelloSend helps with access control: roles, permissions, organization isolation and an audit history of changes to key settings.

Setting up WhatsApp for your clinic

  1. Connect the clinic number

Use Meta Embedded Signup or manual Cloud API setup. With Coexistence, where Meta makes the number eligible, reception can keep the WhatsApp Business app on the same number.

  2. Create roles for staff

Give reception, managers and practitioners the access they need and nothing more.

  3. Write your reminder templates

Keep them factual: patient first name, date, time, address and buttons. Meta reviews each template before you can use it.

  4. Automate reminders from your booking system

Your scheduling software or an automation tool calls BelloSend's API to send each reminder. API and webhooks are included in the Max plan.

Good practice for clinic messages on WhatsApp

  • Ask patients at registration whether they agree to receive reminders on WhatsApp, and record it.
  • Use first names, dates and times as template variables, never a diagnosis or a treatment.
  • Send reminders the day before, with a clear way to confirm or reschedule.
  • Give each staff member their own login, so the audit history shows who did what.
  • Close conversations when they are done, so the queue shows only what still needs an answer.

Frequently asked questions

Can a clinic send appointment reminders on WhatsApp?

Yes. Reminders go out as approved utility templates. You can send them one by one from the inbox, or automatically from your booking system through the API, which is included in the Max plan.

Is it safe to send medical information on WhatsApp?

Keep WhatsApp for logistics. Do not send diagnoses, results or other sensitive health data in messages or templates, and check the health data rules in your country.

Can several receptionists use the same WhatsApp number?

Yes. The shared inbox lets several staff answer from one number, with assignments, notes and full conversation history.

Can patients call the clinic on WhatsApp?

When Meta enables calling on your number, staff can answer WhatsApp calls in the browser or the Android app, even on a locked phone. Calling is part of the Pro and Max plans.

Does BelloSend connect to our booking software?

There are no ready-made connectors. You connect your booking software through BelloSend's API and signed webhooks, directly or with a tool such as Zapier, Make or n8n.
