WhatsApp Flows: forms your customers fill in without leaving the chat

WhatsApp Flows are interactive screens that open inside a WhatsApp conversation. A customer can pick a date, choose options or type their details, then send it all back in one tap. BelloSend includes a WhatsApp Flows builder, so you can create these forms and use them in your chatbot.

What are WhatsApp Flows?

WhatsApp Flows are a Meta feature of the WhatsApp Business Platform. Instead of asking five questions one message at a time, you send one message with a button. The button opens a short form with fields, lists, dates and choices. When the customer submits it, the answers come back to your business as structured data.

This is faster for the customer and cleaner for you. You get the same fields every time, with fewer typing mistakes and fewer half-finished chats.

What you can do with WhatsApp Flows

  • Bookings and appointments

Let customers choose a service, a day and a time, then confirm in the chat.

  • Lead capture

Collect name, city, budget and need in one screen, and route the lead to the right agent.

  • Order details

Ask for a delivery address, size or colour before an order is confirmed.

  • Surveys and feedback

Send a short rating form after a purchase or a visit.

  • Sign-ups

Register people for an event, a course or a waiting list.

  • Support triage

Ask what the problem is and which order it concerns, before a person picks it up.

Build a WhatsApp Flow in BelloSend

  1. Design the screens

Use the WhatsApp Flows builder to add screens and fields: text inputs, choices, dates.

  2. Attach it to a conversation

Send the Flow from a chatbot workflow step, so it opens when a customer reaches that point.

  3. Use the answers

Answers come back into the conversation. Continue the chatbot, assign the chat to a team, or send them to your system with a webhook.

  4. Hand off when needed

If the customer needs help, the conversation moves to an agent with its full history.

Tips for WhatsApp Flows that people finish

  • Keep each Flow short: two or three screens are usually enough
  • Ask only for what you will use
  • Write clear button labels like 'Book a time' rather than 'Continue'
  • Use choices instead of free text where you can
  • Confirm in the chat what happens next once the form is sent
  • Do not collect sensitive data such as medical details or card numbers in a Flow

Plans, channels and costs

WhatsApp Flows are part of BelloSend's chatbot tools, and chatbot and AI are included in the Pro and Max plans. Flows are a WhatsApp feature, so they are not sent on Instagram. Sending a Flow inside the 24-hour customer service window is billed like other service messages: the first 1,000 per number each month are free, then Meta's service rate applies. Outside the window, a Flow is sent with an approved template, which Meta charges for by category and country. BelloSend adds no fee per message.

Frequently asked questions

Do customers need to install anything for WhatsApp Flows?

No. Flows open inside the WhatsApp app the customer already has.

Do I need a developer to build a WhatsApp Flow?

No. You build the screens in BelloSend's WhatsApp Flows builder. A developer helps only if you want to send the answers to your own system through webhooks.

Can I send a WhatsApp Flow to people who have not written to me?

Only through an approved template, to contacts who opted in. Inside the 24-hour window you can send it as a normal reply.

Which plan includes WhatsApp Flows?

Flows are part of the chatbot tools, included in the Pro and Max plans.

Can I use WhatsApp Flows on Instagram?

No. WhatsApp Flows are a WhatsApp feature. On Instagram you can use the chatbot, ice breakers and saved templates instead.

What is the difference between WhatsApp Flows and a chatbot?

A chatbot asks questions one message at a time, and the customer types or taps a reply each time. A WhatsApp Flow shows a full form in one screen or a few screens, and sends all the answers together. Many businesses use both: the chatbot guides the chat and opens a Flow when it needs several details at once.
